Who this policy covers
Actobotz Software is a woman-owned software company based in India. This policy applies to people who visit our corporate website, contact our team, or share information in connection with a prospective or existing business relationship. For privacy questions, email contact@actobotz.com.
Information you provide
- Enquiries: your name, email address, phone number, selected service or product interest, and any message you choose to provide. A message is optional.
- Business correspondence: information you send by email or provide during discussions, such as your organisation, role, requirements, and contact preferences.
- Projects and commercial relationships, where applicable: contact information, proposals, contractual correspondence, and billing or transaction records needed for that relationship. We will explain additional collection in the relevant engagement.
Please share only information relevant to your enquiry. Do not include passwords, payment-card details, identity documents, health information, or confidential third-party information in the contact form.
Information associated with website use
Hosting and security services may process technical request information such as IP addresses, request times, browser details, requested pages, and error information to deliver and protect the website. The website currently has no advertising or analytics scripts. Its decorative animations run in your browser.
How information is used
We use enquiry details to understand your request, respond, and discuss relevant services or Actolink. Where a business relationship follows, information may also be used to prepare proposals, manage communications, deliver agreed services, keep necessary records, and meet applicable legal obligations. Technical information supports website delivery, troubleshooting, and abuse prevention.
Submitting an enquiry does not subscribe you to a marketing mailing list. Any future marketing collection will explain its purpose and available choices separately.
Contact-form delivery
The form is designed to deliver submissions to contact@actobotz.com through a server-side email service. The website uses Azure hosting and is configured to use Resend for email delivery. A successful submission is shown only when the configured delivery service accepts the request. If submission fails, the entered details remain in the form so you can retry.
Service providers and disclosure
Website hosting, email delivery, and business communication providers may process information needed to perform those services. Access should be limited to people and providers who need it for the purposes described here. Information may also be disclosed when required by applicable law or necessary to address a legal claim or security incident.
Customer and product information
Actolink will have its own product website and privacy information. This corporate website does not currently create product accounts. If we process personal information on behalf of a customer while providing software or services, the relevant customer agreement and processing instructions will govern that activity. A person whose information is managed by a customer may need to contact that customer to exercise a request.
Cookies and similar technologies
The current application does not set advertising, analytics, or preference cookies and does not use browser storage to track visitors. Hosting and security services may use essential technologies to deliver and protect the website. No optional tracking tools are currently enabled.
If optional analytics, advertising, or embedded services are introduced, this policy and any necessary consent controls will be updated before those tools are enabled. You can also manage cookies through your browser settings.
Retention
Information should be retained only while needed to respond to an enquiry, manage the relevant relationship, or satisfy applicable record-keeping and legal requirements. Retention depends on the type of information, the purpose, and any ongoing dispute or obligation. You can ask us about retention or request deletion at the contact address below.
Security and international processing
The website uses server-side handling for email credentials and validates form fields before delivery. Email credentials are kept outside browser code. No system can guarantee absolute security. Service providers may process information in locations outside your country; contact us for more information about the providers involved in your enquiry.

You may contact us to ask about information you have supplied, request a correction or deletion, withdraw consent where processing relies on it, or raise a privacy concern. Rights and any exceptions depend on applicable law and the context of the processing.
